Below you'll find a list of the next steps you'll need to take.

Prepare for your first semester by taking the Next Steps below. These are things that you must do before arriving on campus.

WCU sent activation information to the e-mail address on your IEP application. Follow these activation instructions and claim your official student e-mail!

Pay before the Semester begins!
Simplify your semester. Pay before you arrive in the USA.

Contact our office at We will send payment instructions that show you how to pay with credit card or by international wire transfer.

Pay the first week of classes. 
If you do not pay in advance, all money is due when you arrive on campus.

Bring your scholarship letter, a credit card (Mastercard / Visa), OR a cashier’s check (made out to Western Carolina University, drawn on a US bank) with you on the plane. You will need this when you arrive on campus.

No refunds are issued following registration.

If you have a scholarship letter, it must be valid for Western Carolina University and it must expire on one of the dates below.

  • Summer 2021 Expiration Date: August 6, 2021 or later
  • Fall 2021 Expiration Date: December 17, 2021 or later

It is strongly recommended that students make housing plans as early as possible. 

There are two types of housing available for IEP students: 

  • On Campus
  • Off Campus

Students Under 21 years old - While a student in the IEP, you may choose to live off campus. If you are under 21 when you complete the IEP, however, you must follow WCU policy. WCU requires students under 21 years of age to live in residence halls on campus.

Students attending Western Carolina University are required to have medical insurance. We recommend that you buy insurance BEFORE you fly to the USA.

If you do not have health insurance you are required to buy insurance. Contact the IEP at to request insurance. The insurance cost will be added to your student bill from WCU. The insurance company will e-mail you proof of insurance. For information about cost and the GeoBlue health insurance plan, please contact us at

If you are a SACM scholarship student, you need to send a copy of your current scholarship letter to

IMPORTANT: Students will be AUTOMATICALLY SIGNED UP for health insurance each semester by the WCU IEP if proof of insurance is not provided before the first day of classes.

North Carolina State Law requires anyone attending classes on the university campus to present a certificate of immunization. This certificate must show proof of all required immunizations.

Students with Translated Immunization Records
These forms must be officially translated into English and you can e-mail your records to or bring them with you to the airport. WCU Student Health Services will review your records and let you know if they meet the requirements. Download an immunization report form and view all listed requirements here.

Students without Translated Immunization Records
You will be required to receive immunizations from WCU Health Services after you arrive. The cost of these shots will be billed to your student account. Please contact our office at for cost estimates.

These are things we recommend you bring with you to the USA. Questions? Contact our office. We are happy to help!

  1. Cash or Credit Card (not pre-paid) - USD $250-$300 or Visa/MasterCard. This is money you can spend until you set up a bank account. Please do not bring traveler's checks, pre-paid credit cards, or non-USD currency.
  2. Personal electronics - laptop, camera, plug/voltage adaptor
  3. Cell phone - a pre-paid cell phone or Verizon SIM card may also be purchased in the USA
  4. Season appropriate clothing items (dress tends to be casual but we recommend bringing one or more semi-formal outfit or traditional clothing. Seasonal temperature information can be found here.)
    1. Ideas for Fall and Spring Semester: light jacket, winter coat + gloves/scarf, clothing for cold and warm weather, walking shoes, boots
    2. Ideas for Summer Semester: clothing for hot weather, a wide-brimmed hat, sandals, walking shoes
  5. Makeup or toiletry items not sold in the USA -  Most toiletries and personal care items can be purchased after you arrive
  6. Sheets and blankets for a single or twin bed (99 cm x 190 cm) -  most students choose to buy bedding and pillows post-arrival.
  7. Prepare your computer - REMOVE qBittorrent, Tixati, Transmission, μTorrent, WebTorrent Desktop, and all other peer-to-peer file sharing software from your computer.  If you have these programs on your computer, WCU will ban you from using the internet on campus.

Bring these items with you on the plane. Have these items with you at the Port of Entry.

  4. Letter of acceptance to the Intensive English Program 
  5. Letter of conditional acceptance to Western Carolina University (if you have one) 
  6. SEVIS Fee proof of payment 
  7. Evidence of financial support 
  8. Airline ticket
  9. Payment for the IEP program - payment can be made with cashier's check, cash in USD, credit card, or scholarship letter.

REMEMBER: It is very important to put your name and address on the outside AND on the inside of your luggage in case the outside tags fall off.

Put two addresses on your luggage: 

  • Your home address in your country
  • The IEP Office's address here in the United States

IMPORTANT: Students must arrive at the Asheville Airport on the designated days.
Contact our office if you have questions about arrival.

Students who arrive early may stay at one of the hotels listed on the arrival information form. Individuals staying at one of the listed hotels will be picked-up by our office on the designated arrival date.

Students SHOULD NOT arrive late. Anyone who arrives after the designated pick-up date is responsible for finding their own transportation to WCU's campus from the airport. Taxi rides from the airport to campus are very expensive, and you should expect to pay at least $125+ USD.
