As I write this newsletter, I realize that I should circulate it among Advisors, Partners, and Home Team, rather than the entire mailing list. As most of you attended the recent Advisory meeting, you know that our discussion focused mainly on concerns expressed by the visiting team in November.  Bil enumerated these concerns at the meeting on January 24th and I took copious notes of your responses. While there were other concerns expressed by the visiting committee—and it is our task to demonstrate how we will meet these additional challenges in the Year III grant application—numbers remain our biggest problem. 

Our main concern is to get back to original scan commitments which fall in the 2,500 to 3,500 range for the overall project.  If we take the average of our low estimate (2500) and our high estimate (3500), we can use 3,000 as an overall target.  This means that at our halfway point (now!!) we should have 1,500 scans posted to the database if we were on target.  As of the day of the meeting, we had 905.  Another 500 scans between now and March will bring us into compliance with our grant targets.  However, 500 represents HALF of what we’ve done so far, so this is not any small task.  From the standpoint of submitting the grant, if we meet this halfway target, we can concentrate on other qualitative aspects of our grant and not have to spend so time and energy justifying our short-comings. 

I have gone through the original grant application to draw up a table (below) that indicates the commitments made by each Partner.  (Note: I filled in an estimate for JCCFS as an average of MHC and PSC because there was no table or figures submitted by the Folk School in the original grant.)  One advantage of going through the grant in this way is that I’ve noticed that we really weren’t off on our Year I targets if we add up what each partner said they would do.  While our overall projection was 500 scans, adding up the individual commitments only came to 309.  We finished the year with 349!!!

The targets are in green; the actual number of scans that are posted are in red.  You will note that the total commitments for all Partners only comes up to 2,096, which does not meet the minimum overall that we promised (2,500).  We intended to make up this difference with our Year III partners.  You can see this discrepancy in the totals.  The totals in green come from adding up everyone’s individual targets; the figures in purple are what we stated in the grant narrative. 

I order to prepare the Year III grant—and Bil and I have set an internal deadline of March 1st to complete the draft—please send the following responses by the end of next week, February 9th.  As Bil indicated at the meeting, the grant is a partnership and we, here at Western, don’t want to presume to speak for the individual Partners.  We will be using the information you send to us in the Year III grant application.
