The EDP Disaster Recover Plan (EDP-DRP) is a major component of
the Hunter Library Disaster Plan. (HL-DRP) The Hunter Library Disaster
Plan is currently in the process of being put together by the Hunter
Library Disaster Recovery Team . The principal author for the Hunter
Library Disaster Recovery Plan document will be George Frizzell,
library archivist of Hunter Library, with the support of the other
members of the Team. The current chair of this committee is Pongracz
Sennyey.
The EDP Disaster Recovery Plan document was first created as a
single document and web page in Fall 1997 for the State Auditor's
visit to WCU. Portions of this EDP-DRP document have been maintained
by the Library every since EDP equipment was first used. The EDP-DRP
document attempts to collect all the information in one location,
in one document and to make accessible to everyone interested. The
principal author of the EDP-DRP document is Jill Ellern, systems
librarian of Hunter Library. Other team members provided support,
editorial comments, data and other input into the document created
here.
Purpose and Scope:
Computer, telecommunication, and information technologies are now a
indispensable part of the daily operation of Hunter Library. Today, without
these technologies, it would be difficult, if not impossible, for Hunter
Library to accomplish it's major mission to support the teaching and research
needs of the university community with materials and information. The Library
uses these technologies to accomplish this mission by collecting, organizing,
maintaining, circulating and providing access to materials and data in
many formats. It is essential that the technology in the Library is running
smoothly at all times. Problems must be resolved quickly by staff because
service to the patrons can be directly effected.
The EDP Disaster Recovery Plan document's (in print and on the web)
main purpose is to provide guidance and procedures for recovery from disruption
to services in this highly computerized operational environment. This disruption
may come from minor disruptive incidents or from total destruction of the
Hunter Library building. This document is primarily an operational manual
to facilitate quick and orderly recovery to minimize downtime or the disruption
of services to the patrons.
Use of this document
The recovery/backup remedies described in the document have different
action times depending upon which critical library function(s) have been
effected. The times before these actions must be enacted is described in
the Critical Functions within the Library page
of this document. The minimum time of action for remedies is 2
hours for Public Services functions and the maximum downtime addressed
in this document is one semester
for Maps and Special Collections.
Portions of this document will be invoked upon the occurrence of an
incident. The staff member on site at the time of the incident or the first
on site following an incident can declare an incident. (See hierarchical
list of who is responsible for EDP incidents.) The Systems Librarian and
the University Librarian will also be notified by phone or email if they
are not on site at the time of the incident so that the incident can be
logged.
The senior circulation staff member on site at the time of a major incident
will assume immediate responsibility. The first responsibility will be
to see that people are evacuated as needed. If injuries have resulted or
may occur as a result of the incident, immediate attention will be given
to those persons injured. The WCU Security and/or Physical Plant will be
notified if necessary. If the situation allows, attention will be focused
on shutting down systems, turning off power, etc., but evacuation is the
highest priority.
Once an incident which is covered by this plan has been declared, the
plan, duties, and responsibilities will remain in effect until the incident
is resolved and reported or proper university authorities are notified.
Distribution
Copies of this EDP-DRP document have been distributed to the Internal Auditor,
Circulation Unit, Reference Unit, and the WNCLN Libraries. In addition to paper
copies of this document, web access will be available from the Library's Homepage
at http://www.wcu.edu/library/libraryinsider.
Review and updating
Annual review of the EDP-Disaster Recovery Plan document is required by the
Internal Auditor's Office. Any updates to the EDP-DRP made between these reviews..
Updates to the printed copies will be done once at least once a year during
the annual review requested of the WCU Internal Auditor.
Testing
Methods of testing and documenting the EDP-Disaster Recovery Plan document
will be developed this year.
