Contacting the Office of Research Administration early is very important as we receive proposals from the entire campus community. We strongly recommend that you submit your completed proposal package to our office via RAMSes five (5) business days before it is due to the sponsor. This gives us the opportunity to ensure that your package is complete, that your proposal meets all university and sponsor requirements and, that it has the best possible chances of getting funded. Any submissions received with less than five days prior to deadline will be handled in the order in which they were received and cannot be guaranteed submission by deadline. Proposals received by our office the day they are due to the sponsor will not be submitted.
It is an institutional policy that all proposals for external funding MUST be approved by appropriate officials of WCU- including the Office of Research Administration - prior to submission to the funding agency. The approval routing process is accomplished via an electronic submission system called RAMSeS -Research Administration Management System and eSubmission. When a PI submits a proposal into the RAMSes system, it generates an electronic Internal Processing Form (eIPF) that will automatically be electronically routed for approvals. Upon submission of an eIPF, an e-mail will be generated and sent to the department head and dean notifying them of the pending eIPF(s) for their review and approval. PIs will also be able to view the approval status of their proposals and track their entire research portfolio via the RAMSeS system.
Once your proposal has been approved by your eIPF’s and Research Administration staff (who have verified it for compliance), it is ready for approval by the Chief Research Officer. Upon that approval, Research Administration Office staff will then submit your proposal to the grant sponsor. You are not permitted to submit a proposal directly to a grant sponsor unless expressly given authority to do so by the Chief Research Officer or his/her designee.
