What is the application process for campus jobs?
Contact the person listed for the job you’re interested in.  Each department has their own interview and hiring process.  Once a department agrees to hire you, come to the Student Employment Office with the completed hiring form for processing.  To be hired for the first time, you will need a social security card, passport, birth certificate, etc.  For a complete list, see Steps in Securing a Job.

If I get a second job on campus, will I need to provide my passport, social security card, birth certificate and/or photo ID again?
No.  You only need to provide these documents once.  I-9s are kept on file for a period of time.  However, if you have a lapse of employment for more than one semester, you may need to complete an updated tax form (W-4, NC-4).
*Aramark positions are separate from the University and are not considered campus jobs.

Can I fax or provide a copy of my social security card, passport, birth certificate, or photo ID for employment?
No.  Federal law requires original documents for the completion of an I-9.  Fax or photocopies are not acceptable.

How many hours do I need to register for in order to work on campus?
You must be registered at least part-time for an upcoming semester—
 Undergraduate Students: 6 hours during the school year, 3 hours during the summer
 Graduate Students: 5 hours during the school year, 3 hours during the summer

Can I have more than one job at a time?
Yes.  You can have multiple jobs (work-study and non work-study) at a time.  However, you may only work a combined total of 20 hours per week, or 30 hours per week with Dean/Vice Chancellor approval.  If you are taking summer classes, you may only work up to 20 hours during the summer term.

What is the difference between an hourly position and a contract position?
Hourly positions are paid by the hour, every other week.  For the bi-weekly payroll schedule, see the Payroll website.  Contract positions are paid once a month at the end of each month.

Do I have to post a job if I already know who I want to hire?
All new positions must be posted on the Student Employment website.  However, if you hired a student in the previous school year and/or summer term and wish to continue their employment, you do not need to re-post the job.

How often do I need to complete hiring forms?
Hiring forms should be completed each school year and each summer (if the student works during the summer).

What is the position number?
Position numbers are tied to your budget code and are allocated by the WCU Budget Office.  The Student Employment Office cannot create position numbers.

What is a TS#, and how do I get one?
A TS# (timesheet number) is a four-digit number specific to each permanent university employee.  This is the number that will direct your student employees’ timesheets to your account for approval in My Cat.  To establish a TS#, contact Human Resources.

What is the difference between an hourly position and a contract position?

How can I get a copy of the student’s approved hiring form?
To conserve University resources, copies of approved hiring forms will no longer be sent to departments.  To request a scanned copy of the student employee's hiring form, please contact

How do I terminate a student employee?
For hourly positions, complete the Student Personnel Action Request Form located at http://www.wcu.edu/27423.asp.  For contract positions, complete the Student Personnel Action Request Form as soon as possible.
