Giving other user’s permissions to view/make changes to your calendar in Outlook XP

First step is to log in to your outlook account.

Your outlook view may look like this:

Or this:

Or like this:

If it does look like this:

Go to view and choose ‘Folder List’.

To make it look like this:

Now, with your mouse, left click only once on Calendar and then right click. From the popup list choose ‘Properties’ by clicking on it once.

The ‘Calendar Properties’ window will open.

Click on the ‘Permissions’ tab.

Notice there are no permissions granted to anyone. To grant permission(s) for an individual to view your calendar click the ‘Add’ button.

The ‘Add Users’ window opens.

This is where you find the individual to whom you want to grant the permission(s) to view your calendar.

Find the individual by typing their name in the “Type Name or Select from List” box.

Once you find the individual click on the ‘Add’ button.

Once you have finished adding the individual(s), click ‘OK’.

In this example Candy Benson has been selected.  Now I need to assign a permissions level(s).

Do not make changes to the Default and Anonymous accounts.  In fact you may delete them if you want.

Click on the ‘Permission Level’ drop down list.

Be careful assigning permission levels to users. An “editor” has full access (write, create, delete) to your calendar.

Here is a list of the Permission Levels:

Owner

Grants all permissions in the folder. Create, read, modify, and delete all items and files and create subfolders. The owner can also change permission levels that others have for the folder.

Publishing Editor

Grants permission to create, read, modify and delete all items and files, and create subfolders.

Editor

Grants permission to create, read, modify, and delete all items and files.

Publishing Author

Grants permission to create and read items and files, modify and delete items and files you create, and create subfolders.

Author

Grants permission to create and read items and files, and modify and delete items and files you create.

Nonediting Author

Grants permission to create and read items and files.

Reviewer

Grants permission to read items and files only.

Contributor

Grants permission to create items and files only. The contents of the folder do not appear.

None

Choose the level of permission for the individual; in this case ‘Editor’ and you can see all the permission levels this individual is granted by the check boxes.

If this is what you want the individual to have access to click on ‘Apply’.

You can see the permission(s) for Candy Benson in the box.

Click  ‘OK’.
