Mileage

Effective January 1, 2007, the Internal Revenue Service (IRS) has increased the business standard mileage rate from 44.5 cents per mile to 48.5 cents per mile. Pursuant to G.S.138-6(a)(1), the Office of State Budget and Management has notified us that effective January 1, 2007, the allowable rate of reimbursement for the use of a private vehicle on official business for the convenience of the State will be increased to 48.5 cents per mile to reflect that change. "Convenience of the State" is defined as: 1) Non-availability of a motor pool or State-owned vehicle or 2) The round trip is 60 miles or less.     According to Section 5 of the Travel Policies & Procedure Manual: "Non-availability of a motor pool vehicle must be documented by a certificate obtained from the WCU Motor Pool and submitted with the request for reimbursement."

Additionally, when private vehicles are used on official business for the Convenience of the Employee, reimbursement is made at the lowest prevailing motor pool rate which is still .25 cents per mile. "Convenience of the Employee" is defined as the round trip being over 60 miles or a private vehicle is used when a motor pool vehicle is available.

The sections of the Travel Policies and Procedures Manual listed below will be updated to reflect the recently approved increase:

  • Section 5 – Transportation by Private Vehicles
  • Appendix A – Rates-At-a-Glance - Transportation Rates
