The experienced conference staff at WCU can help take the headache out of planning your organization’s next workshop, conference, symposium, or meeting of any size. Not only can we host your event on our beautiful campus, but we can also take our services on the road and coordinate your meeting at any location, at any hotel or conference center in the state.
The Division of Educational Outreach is a "one-stop-shop" for conference services. Our professional staff can assist with every aspect associated with hosting a meeting, workshop or conference on the University campus. Our staff will guide you through the planning, implementation, and evaluation of your conference to ensure that the smallest details of your meeting are handled efficiently.
Here are just some of the services we provide:
- Scope planning
- Budgeting
- Site Selection
- Negotiation with hotels or off campus centers
- Assistance with speaker contracts and payments
- Design, printing and mailing of promotional brochures
- Website design and online registrations
- Coordination of proceedings or program publication
- All registrations and payment collections (including credit cards)
- Nametags / badges / ribbons
- Folder packets (including photocopying handouts, etc.)
- On-site coordination
- Travel arrangements for speakers and staff
- Staffing check-ins and registrations
- Coordinating all activities on-site

The Campus of Western Carolina University is a prime site for your organization to conduct a meeting or training program. Modern seminar rooms, up-to-date instructional technologies, expert staff assistance, and affordable food services are available year-round with a variety of residential living options available in the summer.
WCU’s Meetings and Conferences Program is designed to assist and support Western North Carolina Businesses and organizations. Meetings held on the WCU campus must have a clearly identifiable educational component. University facilities are not intended for functions unrelated to education and/or economic development.

ON-CAMPUS HOUSING (SUMMERS ONLY)
Housing is available to groups meeting from June through early August. Residence halls accommodate two persons in a room with shared baths. Two residence halls are air conditioned. Madison Hall, a historic building remade into a comfortable and convenient meeting facility, offers fifty-four guest rooms with all the amenities of a business-class hotel. Reynolds Hall offers basic air-conditioned facilities for groups on a budget.
FOOD SERVICE
WCU has two full-service dining halls and several private dining rooms. A variety of food is offered at every meal, including fruits, no-salt vegetables, and lowfat items. Special meals ranging from banquets to picnics can be arranged.
AREA ATTRACTIONS
As one of the most beautiful and historic areas of the United States, western North Carolina and WCU have much to offer. Enjoy Western's art galleries and Mountain Heritage Center, and off-campus, take advantage of area attractions such as the Great Smoky Mountains, the Blue Ridge Parkway, the Cherokee Indian Reservation's casino and museum, Unto These Hills outdoor drama, the Folk Center, the Grove Park Inn, and the Biltmore Estate.
